The Challenge

The tour operator, known for its high level of service, was struggling with the manual management of bookings and communication.

The process required speed and flexibility, but freeing up time from repetitive tasks, eliminating potential errors, and maintaining a top-tier customer experience from the initial request to the final pickup was a significant challenge. The high volume of requests via email demanded a more efficient, automated solution.

The Solution

AthenaGenAI designed and deployed a smart, automated booking and communication management system. The core of the solution involved AI agents built to handle the entire booking lifecycle. An agent automatically checks availability for each request by slot, vehicle, and group size.

If a spot is available, it automatically places a hold and sends a follow-up message to the customer. Upon confirmation, the agent automatically enters all necessary details into the company's central reservation system. A key feature was the intelligent request queue, which organized all incoming communications for efficient management.

 

For larger groups, a dedicated agent automatically scanned availability for bigger vehicles, while smaller groups were assigned to the appropriate vehicle based on existing tour capacity, optimizing fleet usage. This system provided a scalable infrastructure that minimized booking errors and saved the team significant time on manual communications.
